It all starts with a risk analysis

A good risk analysis generates a number of tasks. Checks of the emergency exits for example, but also checks of the equipment for a bad weather scenario and checks. Even a check on any peculiar details on social media. Some roles have specific tasks. For example, a stage manager checks whether there’s an approved fire extinguisher on stage. These tasks have to be completed before the festival doors open. And the organization sees exactly if that’s the case, since employees check off all completed tasks in the app.

Those checks keep coming during the festival. An hour before the headliner starts the set, for example: are the bars replenished? Is there plenty of staff available? And are the extra security guards in position? The right people see these tasks at the right time. Simply through notifications in the app. All reports on safety, security, organization, traffic and first aid come in at the festival’s command room. These are all registered in a cloud-based log. This creates a complete picture of everything happening on and around the festival. It enables the organization to make improvements during the event. Such a complete log also comes in handy during the evaluation afterwards.

According to safety plans

Through various dashboards organizers have a clear picture of the organization at any time. Whether they’re at home or walking around the festival grounds, they’re able to see exactly which tasks have been completed. Or they can check notifications sorted by location or theme. And the risk dashboard immediately shows whether the organization is in line with safety plans and risk analyzes.

De risicoanalyse is de basis

Uit de risicoanalyse volgt een aantal checks. Controles op de nooduitgangen bijvoorbeeld, maar ook op de materialen voor het slecht-weer-scenario en op bijzonderheden op social media. Sommige rollen hebben specifieke taken. Zo controleert een stagemanager of er wel een gekeurde brandblusser op de stage staat. Voordat de deuren van het festival opengaan, moeten deze controles zijn uitgevoerd. En de organisatie ziet precies of dat ook het geval is, want in de app vinken medewerkers alle checks af die ze doen.

Die checks blijven ook tijdens het festival komen. Een uur voordat de headliner aan de set begint bijvoorbeeld: zijn de barren aangevuld? Is er voldoende personeel beschikbaar? En staan de extra beveiligers op de afgesproken posities? Allemaal taken die de juiste mensen op het juiste moment zien. Simpelweg door notificaties in de app. In de centrale post (zeg maar de commandokamer van het festival) komen alle meldingen van de beveiliging, organisatie, traffic en EHBO binnen. Deze worden allemaal vastgelegd in een cloudbased logboek. Zo ontstaat er een volledig beeld van wat er op en om het festival gebeurt. Het stelt de organisatie in staat om tijdens het evenement al verbeteringen aan te brengen. En zo’n volledig logboek komt ook van pas bij de evaluatie.

Volgens het veiligheidsplan

Via verschillende dashboards hebben de organisatoren altijd een goed beeld van de organisatie. Of ze nou thuis zijn of ergens rondlopen op het festivalterrein: ze kunnen precies zien welke taken zijn voltooid. Of meldingen bekijken per locatie of per thema. En op het risico-dashboard is meteen zichtbaar of de organisatie in lijn loopt met de veiligheidsplannen en risicoanalyses.
